The goal is to be a place where residents feel at home, feel happy, and can continue life as much as possible in the way they always have. The question was how to bring everyone along, especially the people delivering care every day, when you are making such a fundamental change.
Synthetron and Westerkim joined forces and ran five online dialogues, bringing together more than 200 people across three stakeholder groups: staff, volunteers, and family members. The sessions made it easy to collect meaningful input alongside busy day-to-day work. Instead of tick-box surveys, we captured nuance and depth through interactive one-hour conversations.

Buy-in from the start. Strategic change in care settings depends on the people on the floor. They shape what residents experience every day. By involving people early in the strategy and vision, they felt heard and genuinely engaged. That is what turns a plan into change people actually support.
Honest feedback, without filters. The sessions created space for people to say what they really think. With anonymity built into the software, a senior colleague’s input carried the same weight as an intern’s. And because the format prevents a few voices from dominating, it produced a more balanced, complete view of what was happening across the organisation.
Practical, actionable insights. Together, we identified what could slow the change down and what could help it succeed. Using our methodology, we separated surface-level symptoms from root causes, making it clear where to focus first.
In a short period of time, more than 200 people took part. Staff, volunteers, and family members explored one central question: how do we make wellbeing-led the starting point, instead of care-led? We tested ideas, listened closely to what might stand in the way, and built a new direction step by step. The result is a policy plan with real buy-in, because it was developed with the people who will bring it to life.
